The Leave Administrator is responsible for managing the full lifecycle of employee leave cases while ensuring compliance with federal, state, and company policies. This role serves as a key resource for employees and managers, providing guidance on statutory and company-sponsored leave programs, accommodations, and return-to-work processes. The role requires strong case management, regulatory knowledge, and coordination with HR, payroll, and external partners to ensure accurate and timely administration.
In addition, this role provides backup support for benefits administration, assisting with employee inquiries, data integrity, carrier coordination, and open enrollment activities. Combines compliance expertise, operational accuracy, and customer service to deliver a consistent and supportive employee experience.
• Serve as primary point of contact for employees and managers regarding all leave programs, including FMLA, ADA, medical, parental, disability (short- and long-term), military, and other statutory or company-sponsored leaves.
• Manage the full leave lifecycle, including intake, eligibility determination, documentation review, case tracking, return-to-work coordination, and case closure.
• Provide guidance on accommodations and return-to-work strategies in partnership with managers and HR, ensuring compliance with federal, state, and local regulations.
• Partner with Workers’ Compensation representatives on overlapping or related cases.
• Maintain accurate leave records and coordinate payroll/time adjustments within HRIS systems.
• Troubleshoot system issues within the leave management platform and recommend process improvements.
• Ensure compliance with internal policies and external regulations while maintaining strict confidentiality.
• Deliver responsive, professional customer service through phone and written communications.
Benefits Administration Backup Support
When serving as backup to Benefits Administrators:
• Assist employees and dependents with understanding benefit offerings and eligibility.
• Monitor and respond to the Benefits inbox and resolve open or pending tasks.
• Conduct benefits data audits and review documentation for accuracy.
• Coordinate directly with benefit carriers regarding employee eligibility and coverage issues.
• Support open enrollment, wellness initiatives, and benefits-related meetings.
• Assist with special projects, system implementations, or organizational transitions.
• Bachelor’s degree in Human Resources, Business, Finance or related. 4 years of experience can be used in lieu of a degree.
• Minimum of 2 years of experience in leave administration.
• HRIS benefits administration and other insurance carrier administration systems experience preferred.
• Basic knowledge of MS Office Suite with advanced experience in Outlook, Word and Excel required.
• Excellent interpersonal skills.
• Effective verbal and written communication skills.
• Detail oriented and accurate.
• Excellent multitasking skills, with the ability to perform duties outside of scope of work when necessary.
• SHRM-CP, SHRM-SCP, PHR, or CBP preferred.
Travel Requirements
