Overview

The Executive Assistant (EA), IS-Delivery is a critical enablement role supporting the IS-Delivery senior leadership team, including the President of Delivery, the EVPs of IS-Delivery East and West, and the EVP of Business Services.

 

Reporting to the VP – Strategic Operations & Business Integration, this role provides high-impact executive, operational, and office-management support, ensuring leaders are able to focus on strategic priorities, decision-making, and delivery execution. The EA serves as a trusted partner to senior leaders, owning day-to-day coordination, logistics, and office operations while operating with discretion, judgment, and professionalism.

Responsibilities

Executive Support & Leadership Enablement

  • Provide direct executive assistance to the President of Delivery and IS-Delivery EVPs, including complex calendar management, scheduling, and coordination across multiple time zones.
  • Manage executive communications, including screening and prioritizing emails, calls, and meeting requests.
  • Coordinate executive travel, including flights, hotels, ground transportation, and itineraries for frequent, nationwide travel.
  • Prepare leaders for meetings by coordinating materials, agendas, logistics, and follow-up actions.
  • Maintain a high degree of confidentiality, discretion, and professionalism at all times.

IS-Delivery Office Management – The Woodlands

  • Serve as the primary point of contact for IS-Delivery office operations in The Woodlands, partnering with ENFRA’s facilities and corporate services teams.
  • Manage local office needs including access, space coordination, services, deliveries, supplies, and vendor coordination.
  • Support hosting of leadership meetings, visiting executives, and internal events at the Woodlands office.

 Meetings, Events & Offsite Planning

  • Plan and coordinate nationwide leadership offsites, workshops, and team meetings, including:
    • Venue selection and hotel bookings
    • Conference room coordination
    • Catering and on-site logistics
    • Travel coordination for attendees
  • Support local and virtual meeting logistics, ensuring smooth execution and a professional experience.
  • Coordinate meeting logistics and materials in partnership with the Business Analyst and VP – Strategic Operations & Integration.

 Expense, Travel & Administrative Management

  • Manage executive expense reporting, credit card reconciliations, and travel-related documentation.
  • Support budget tracking related to travel, meetings, and office operations.
  • Maintain organized records, files, and documentation in accordance with company standards.
  • Support licensing, compliance, and administrative requirements as needed.

 General Executive Assistant Responsibilities

  • Act as a liaison between executives and internal stakeholders at all levels of the organization.
  • Receive and host visitors, ensuring a professional and welcoming experience.
  • Support ad-hoc research, data collection, and document preparation as requested.
  • Anticipate executive needs and proactively resolve scheduling, logistics, or administrative challenges.

Qualifications

Required Education, Experience, and Qualifications

  • Bachelor’s degree in Business Administration, Communications, Operations, or a related field preferred, or equivalent relevant experience
  • 6+ years of experience providing executive support to senior leaders (VP, EVP, President, or C-suite level) within a complex, fast-paced organization
  • Demonstrated experience supporting multiple senior executives simultaneously, with competing priorities and heavy travel requirements
  • Advanced proficiency in Microsoft Outlook, Word, PowerPoint, and Excel, with the ability to produce polished, executive-ready materials
  • Proven ability to manage complex calendars, travel logistics, and executive workflows with precision and foresight
  • Exceptional organizational skills, attention to detail, and follow-through
  • Strong written and verbal communication skills, with a professional executive presence
  • High degree of judgment, discretion, and ability to handle sensitive and confidential information
  • Ability to operate independently, anticipate needs, and adapt quickly to changing priorities
  • Comfortable working in a dynamic, matrixed environment and performing responsibilities beyond traditional administrative scope when required

Travel Requirements

  • 5% of time will be spent traveling to job site(s)/office location.

Physical/Work Environment Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Climbing stairs.
  • Remaining in a stationary position, often kneeling, standing or sitting for prolonged periods.
  • Repeating motions that may include the wrists, hands and/or fingers.
  • Quiet environment.
  • Light work that includes adjusting and/or moving objects up to 20 pounds.

Pay Range

USD $58,080.00 - USD $77,570.00 /Yr.
