The Benefits Administrator I performs benefits administration responsibilities by utilizing benefits systems, payroll systems, carrier systems, and collaboration among vendors/colleagues while ensuring accuracy and compliance with all regulations and plan documents.
• Ensure courteous and efficient handling of customer service calls from internal and external clients regarding benefits and benefits related issues.
• Responsible for being the main point of contact for benefits enrollment system for annual Open
Enrollment, new hires, existing employee updates, qualified life events, & special enrollments.
• Assist in special projects and transition efforts by performing the same or similar duties during transfers to ensure seamless benefit transitions between positions and entities.
• Troubleshoot problems in the benefits systems, make suggestions and correct issues.
• Respond timely to emails, faxes, & other notices regarding employees benefits.
• Processes all National Medical Support Notice orders, QDROs, CMS forms, etc.
• Monitors rehires for correct benefits coverage start dates and coverages for reinstatements, if applicable.
• Keep all systems updated with employees’ most current demographic information for accurate EDI transfer to benefits carriers.
• Monitors carrier and file feed error reports and timely resolves all issues.
• Assists employees and covered dependents in understanding the company benefits offerings.
• Assist employees with benefits enrollments and login issues in ENFRAHR / Benefits Admin.
• Conducts benefits enrollment meetings, advises on eligibility, costs and coverages.
• Distributes benefit communications to eligible participants.
• Monitors benefits email inbox and promptly respond to questions and requests.
• Involves benefits Broker to assist participants with claims and questions as needed.
• Receive HIPPAA certification and follow HIPPAA policies.
• Reconciles all benefit carrier invoices, allocates for cost accounting, and timely processes all monthly benefits carrier invoices.
• Audits benefits carrier invoices monthly to UKG Benefits Admin.
• Audits payroll deductions in legacy payroll systems to Benefits Admin.
• Uploads eligibility and demographic data updates into Fidelity for 401K plan administration.
• Communicates directly with benefits carriers regarding employee eligibility/issues.
• Backup our Employee Leave Specialist by:
• Ensures compliance with internal and external policies and regulations.
Required Education, Experience, and Qualifications
• Minimum 2 to 5 years of experience in Human Resources functions, preferably in benefits administration.
• HRIS benefits administration and other insurance carrier administration systems experience.
• Basic knowledge of MS Office Suite with advanced experience in Outlook, Word and Excel required.
• Excellent interpersonal skills.
• Effective verbal and written communication skills.
• Detail oriented and accurate.
• Well versed in the industry and the Company’s competitors.
• Willing to tackle various ongoing projects in a fast-paced environment and ability to perform duties outside their scope of work when necessary.
Preferred Education, Experience, and Qualifications
• Bachelor’s degree in human resources, business, finance or related field.
Travel Requirements
• 0-5% of time will be spent traveling to job site(s)/office location.
